ST PETERS IVER FC MINUTES OF CLUB MEETING – MONDAY 19/01/09

Action |
· Managers updateso Season is generally going well. o Men’s team is struggling for regular numbers but currently use some U16’s as substitutes.

· Finance update & Donationso Forecast is currently approximately break-even for the season, and there is one seasons worth of cash in the bank. o Donations this year so far are totalling £3,050. o There has been positive feedback from the ‘suggested minimum donation’ so will continue this next season.

· Coaches/helpers CRB checks and referenceso There were a number of forms yet to be returned. o 1st group of reference letters are currently being sent out. o CRB checks will be undertaken in order determined by level of involvement

· Club Administration/task reallocation next seasono With John & Sharon stepping down at the end of the season, there are a number of tasks to be reallocated in order to keep the club running as it does now. John provided a list which was discussed. o Need to produce a flyer to request additional helpers for administration & coffee bar o Social Events – Mark & Simon volunteered to take this on. o Managers Responsibilities – to include 1) roping the goalmouths after games, 2) picking up any rubbish around the pitch, 3) ensuring changing room/toilets are left tidy 4) ensuring all players are registered 5) Requesting new kit/equipment when required 6) ensuring 1st aid kits are replenished. o Child Welfare Officer – This is a critical position, without which the club cannot affiliate to the FA & play matches. (Include on flyer as a ‘vacancy’) o Coffee Bar – currently insufficient volunteers to run this for next year, which would make a big hole in the clubs finances. o Lead Contact – Nick Jones agreed to become the contact point between the club and RPSC/the church/parents etc. o League Meetings – Proposed that managers attend these on a rota basis o Other Admin tasks – there are a number of other tasks which are available for distribution and any further offers of secretarial or Administration help would be gratefully received, as it may prove difficult to run the club next year without more volunteers. o Prayers before matches – It may be appropriate for the new youth worker to attend for this. Confirm with Tim Eady.
o Brian Griffiths wished to record his sincere thanks on behalf of the church for the hard work undertaken over many years by John & Sharon Plaskett.

· Season Dateso There will be a one week break in training for Easter (11th April) o Last week of training will be 25th April

· Social Eventso Football Fantasia to be arranged for March o Dads vs Lads Friday 24th April o Presentation evenings Friday 1st May & Friday 15th May. Split of age groups to be determined at the next meeting o Curry night Friday 8th May

· Any Other Businesso Gift Aid – Application for registering as Community Amateur Sports Club was refused due to constitution. Need to review the required wording to see if it can be included in St Peters version. o Thank you service – It is proposed to hold a service of thanks for John/Sharon at the end of the season (beginning of May). Date to be confirmed.
